When you sign up or train with us at Obsidre Thchronos Fitness, we're gonna need some basics to keep everything running smooth:

Personal Contact Stuff

Your name, email, phone number, and home address. Pretty standard gym membership info that lets us reach you about classes, schedule changes, or if you forgot your water bottle again.

Health & Fitness Data

We track your training progress, fitness assessments, injury history, and any medical conditions we should know about. This isn't us being nosy - it's literally to keep you from getting hurt during those brutal HIIT sessions. Our coaches need this to program your workouts safely and push you the right amount.

Payment Information

Credit card details, billing address, membership tier. We process payments through secure third-party processors, so we don't actually store your full card numbers on our servers.

Usage Data

Check-in times, classes you attend, equipment you use, and how often you're showing up. Helps us figure out what's working and what needs tweaking in our facility.

Technical Stuff

IP address, browser type, device info when you use our website or member app. Standard internet stuff that helps us fix bugs and make the site work better.

We're not hoarding your data for fun. Here's what we actually do with it:

  • Running the gym: Managing your membership, scheduling classes, processing payments, and keeping track of who's using what equipment.
  • Personalizing your training: Our coaches use your fitness data to create programs that actually match your goals and capabilities. Can't do that without knowing where you're starting from.
  • Safety first: Medical info and injury history helps us prevent accidents. If you've got a dodgy shoulder, we need to know before loading up a barbell.
  • Communication: Sending class reminders, schedule updates, membership renewals, and occasionally letting you know about new programs that might interest you.
  • Improving our services: Analyzing trends to see what's popular, what times are busiest, and where we can do better.
  • Legal compliance: Meeting Canadian privacy laws, tax requirements, and keeping records for liability insurance.

We won't spam you with nonsense or sell your email to supplement companies. If you're getting messages from us, it's because they're relevant to your membership.

Access Your Information

Request a copy of what personal data we've got on file for you. We'll send it over within 30 days, usually faster. There might be a small admin fee if it's a complex request.

Correct Inaccuracies

If something's wrong in your profile - old address, changed phone number, whatever - let us know and we'll fix it. You can update most stuff yourself through the member portal.

Delete Your Data

Want us to erase your info? We can do that, with a couple exceptions - we've gotta keep financial records for tax purposes and anything required by law. Once you're no longer a member and obligations are met, we'll wipe it.

Opt Out of Marketing

Every marketing email has an unsubscribe link. Use it. We won't take it personally. You'll still get essential stuff like payment receipts and schedule changes.

Withdraw Consent

If you gave us permission to use your info for something specific (like using your transformation photos in marketing), you can take that back anytime.

File a Complaint

If you think we've mishandled your data, contact us first so we can sort it out. Not satisfied? You can file a complaint with the Office of the Privacy Commissioner of Canada.

We don't keep your info forever. Here's the retention breakdown:

  • Active members: We keep your full profile and training data as long as you're a member, plus 2 years after membership ends. Helps if you come back or if there's any disputes.
  • Financial records: Kept for 7 years minimum for tax and accounting purposes. Canadian law requires this.
  • Marketing contacts: If you signed up for our newsletter but never joined, we'll keep your email until you unsubscribe or it bounces repeatedly.
  • Legal stuff: If there's ongoing litigation or an injury claim, we'll retain relevant records until the matter's resolved.
  • Workout progress data: Deleted 2 years after membership ends unless you specifically request copies for your own records.
  • CCTV footage: Security camera recordings are kept for 30 days then automatically overwritten unless there's an incident.

After retention periods expire, we securely delete or anonymize the data. Anonymized data (stuff that can't identify you personally) might be kept longer for statistical analysis.

Our programs are designed for adults 18 and over. We don't knowingly collect personal information from anyone under 18 without parental consent.

If a minor wants to train with us (we sometimes do teen athlete programs), a parent or legal guardian needs to sign all the paperwork and consent forms. The guardian's info goes into our system, and they control access to the minor's data.

If we discover we've accidentally collected data from a minor without proper consent, we'll delete it immediately. Parents can contact us anytime to review, update, or delete their child's information.

Our website might link to other sites - supplement companies we recommend, nutrition resources, fitness equipment retailers, or our social media pages. Once you click those links, you're on their turf and their privacy policies apply, not ours.

We try to only link to reputable sites, but we can't control what they do with your data or how secure they are. Do your own homework before giving them your info.

Same goes for social media - if you follow us on Instagram or Facebook, those platforms have their own data collection practices that are totally separate from ours.

We might update this privacy policy from time to time - new laws come out, we add new services, technology changes, whatever. When we make significant changes, we'll let you know through:

  • Email notification to all active members
  • A notice posted at the gym entrance
  • A banner on our website
  • Updated date at the top of this page

Minor tweaks like fixing typos or clarifying existing practices might not get the full announcement treatment, but the updated date will always change.

Keep using our services after we announce changes means you're cool with the updated policy. If you're not down with the changes, let us know and we can discuss your options, including ending your membership if it comes to that.
